DESCRIPTION:

This position provides clerical support specific to the main Switchboard and Information Desk at a large County Health Department. The employee in this position exhibits service excellence and delivers great customer service at the main CHD Switchboard / Information Desk to internal and external customers. This position has responsibilities to maintain current and complete telephone lists of the employees, the departments and services located within the agency. This position must have an overall general knowledge of Sarasota County Health Department, its mission, vision and value, its departments, locations and internal workings. The person in this position is required to determine client’s need, gather and disseminate information in a concise, easily understood manner. Must be able to interpret policy, and procedures, and provide guidance and assistance to clients, visitors, and staff, in person and on the telephone. This person is also required to demonstrate flexibility, a calm demeanor, and a high level of professionalism, while assisting internal and external customers.

REQUIREMENTS:

  • A Valid Florida driver’s license and/or access to reliable transportation

  • Selected immunizations (MMWR Vol. 46/No.RR-18)

  • Participation in the direct deposit program within 30 days of employment as mandated per Florida Statute 110.113, 96-310, Laws of Florida

  • High school diploma or GED is a minimum education requirement.

  • Incumbent may be required to work before, during and/or beyond normal work hours or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs or Red Cross shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.

MAJOR DUTIES AND RESPONSIBILITIES:

  • Performs general switchboard/information desk and clerical duties according to standard office procedures and protocol, as directed by the Operations Manager position, he/she reports to.

  • Assists internal and external callers to main switchboard, with information, assistance, or directions to correct department or person or location.

  • Answers, transfers and directs incoming calls using a computerized database for information access.

  • Provides customer service to clients, visitors, and staff, needing assistance, directions, and information.

  • Maintains updated information in computerized database, of new and revised phone numbers, able to provide information and contacts to those calling and/or coming in.

  • Receives emergency calls, forwards calls to appropriate departments and ensures callers read appropriate people or contact Law Enforcement or Emergency Medical Services through the 911 operations.

  • Able to instruct other staff on use of telephone, telephone skills, transferring calls, overhead paging and conference calling.

  • Works with the Volunteers at the Lobby Information Desk to maintain stock of brochures and maintains a current map of the agency.

  • Monitors sharps container program for disposal in biohazard receptacles and distributes to clients as needed.

  • Performs simple clerical tasks using computer, office equipment, supplies.

  • Carries out assignments given by supervisor, and performs other related work as required.

  • Performs other duties as directed by supervisor.

  • Improves work skills and knowledge and sets goals on annual basis.

  • Prints and distributes daily calendar for all on-site conference rooms.

  • Can receive and sort mail and deliveries.
